Cancellation Policy
1. Booking Guidelines Sessions are 50 minutes long and must be scheduled in advance through the booking platform. Clients are encouraged to book sessions at least 48 hours in advance to ensure availability. Sessions are scheduled on a first-come, first-served basis. 2. Payments Payment is required in full at the time of booking. Prepaid packages (e.g., 10-hour or 20-hour blocks) must be paid in advance and redeemed within the specified validity period. All payments are non-refundable, except in cases of tutor cancellations or administrative errors. 3. Rescheduling Policy Sessions may be rescheduled without penalty if a request is made at least 24 hours before the scheduled session time. Rescheduling requests made less than 24 hours in advance will result in the session being forfeited. 4. Cancellation Policy Clients are allowed one free cancellation per quarter if the cancellation request is made at least 4 hours before the session start time. Subsequent cancellations or cancellations made with less than 4 hours’ notice will result in the session being forfeited. No-Shows: If a client fails to attend a session without providing prior notice, the session will be forfeited with no refund or rescheduling. 5. Session Start Times Sessions will begin promptly at the scheduled time. Late arrivals will not extend the session duration. Clients who do not join within 15 minutes of the session start time will forfeit the session, which will be marked as a no-show. 6. Package Validity Prepaid packages must be used within their respective validity periods: 10-Hour Package: Valid for 6 months. 20-Hour Package: Valid for 12 months. Unused sessions cannot roll over past the expiration date. 7. Tutor Responsibilities The tutor will provide tailored, professional instruction based on the client’s goals. If the tutor cancels a session, the client will be notified promptly, and the session will be rescheduled at no extra cost. 8. Client Responsibilities Clients must ensure they have reliable internet and necessary technology for online sessions. Clients should come prepared with questions, materials, or specific topics to cover. 9. Communication All booking, rescheduling, and cancellation requests must be made via the booking platform or email at tbw@coachward.biz. For urgent inquiries, clients may contact via WhatsApp at +16186911706. 10. Policy Modifications This policy may be updated at any time. Clients will be notified of changes at least 30 days in advance.
